Privacy information for professionals and website users

This privacy notice is for professionals whose personal information Square Bell holds and uses to deliver and publicise our services. It does not apply to subjects of data that Square Bell processes on behalf of others, such as school pupils or college students.

Purpose of this document

This document is to provide you with information about our purposes for processing your personal data, our retention periods for that personal data, and who it will be shared with.

We may collect any or all of the following specific information: name; professional role; organisation; contact details such as email address, phone number, and postal address; areas of interest or responsibility; details of subscriptions to our mailing lists. We may also retain copies of correspondence with you such as emails, and notes from phone calls or other contacts.

We may also collect, generate, and process information in relation to delivery of our services to you, such as login details for our website, and information about your access to our online services such as your IP address, browser software, and activity on our sites.

How does Square Bell acquire data about you?

We may be provided with your contact details by your headteacher, Academy Trust, or Local Authority for the purpose of delivering a service to you.

You can volunteer your details to receive information from us, either via online form to subscribe to a mailing list, or by contacting us via email, phone, or other mechanism.

Information may be collected automatically when you access our online services but this will be anonymous unless you log in to a restricted part of the site.

What is the lawful basis for processing your information?

If you sign up to receive information from one of our mailing lists, and have no other connection with Square Bell, then your information is held and processed only with your consent.

If your information has been provided to us in connection with one or more of our services, either in relation to a contract with Square Bell or delivery of a service, then we process your information for the legitimate interests of our business. This may include performing a public task under contract for a Local Authority, School, or Academy Trust.

What does Square Bell do with your data?

We use your data primarily for the purpose of contacting you appropriately. This might be to provide general information on an area of interest, or in connection with a specific data processing service.

We also store data to manage and monitor access to our services. Usage information may be used to improve our services, or to evaluate any security issues or concerns.

How long does Square Bell retain data?

Data held for our mailing lists will be retained until you advise otherwise, or until we have reason to believe that the information is incorrect or no longer relevant.

Data held in regard to our services will typically be retained for up to five years after the service has ended for audit purposes or in case records of service delivery are required by contract holders.

Accessing, correcting, or deleting your data

If the information we hold is wrong or out of date, please let us know so that we can correct it.

If you want to unsubscribe from our mailing lists you can do so at any time. If you want us to delete your data or stop processing it, please let us know: we will consider all such requests individually based on the nature and purpose of the data held.
